How delivery and pickup actually works

When you book a machine from us, delivery isn't an afterthought tacked onto the invoice. It's a scheduled appointment with a tilt-deck truck, a driver who knows how to operate the unit, and a quick walkaround at your site. Here's what's included, what costs extra, and how to prep your driveway or job site so the drop-off goes smoothly.

Delivery zones and pricing from our Delta yard

We're based in Delta, which puts most of the Lower Mainland within a reasonable haul. Delivery fees are charged round trip (drop-off plus pickup) and depend on distance and machine size. Rough ranges as of this season:

• Tsawwassen, Ladner, North Delta: roughly $90–$150 round trip for compact units like a KX40 or U25.
• Surrey, White Rock, Richmond: roughly $140–$220 round trip.
• Burnaby, New West, Langley: roughly $180–$280 round trip.
• Vancouver, North Shore, Coquitlam: quoted per job — bridge tolls and tunnel routing matter.
• Larger machines like the SVL75 track loader or mid-size excavators carry a higher delivery rate because they ride on a heavier float.

If you're picking up yourself with a suitable trailer and tow vehicle, you can skip the fee entirely. We'll help you load and strap down, and we'll check that your trailer is rated for the machine before it leaves the yard.

What's included in the delivery fee

The flat delivery charge for equipment rental Delta BC customers covers:

• Transport to your site within the agreed window (usually a 2-hour arrival window, not a 9-to-5 guess).
• Unloading and positioning the machine where you want it, within reason — typically on the driveway, in the side yard, or just inside a gate.
• A short operator walkaround: controls, kill switch, fuel type, daily greasing points, and any quirks specific to that unit.
• Pickup at the end of your rental period from the same spot.
• Fuel top-off before delivery so you start with a full tank (you return it full).

What's not included

A few things people sometimes assume are part of the delivery but aren't:

• Operator time. The driver drops, demos and leaves. If you want someone to run the machine, that's a separate service.
• Attachment swaps mid-rental. If you booked a bucket and decide on day three you want a thumb or auger, we can run it out, but there's a trip charge.
• Site clearing. If the drop spot is blocked by a parked car or a locked gate, the driver will wait a reasonable time, then either reschedule or charge wait time.
• Crossing soft lawns or finished hardscape. We'll place the machine where it's safe to unload. Moving it across delicate surfaces is on you, and we recommend plywood mats.

Site prep: what to have ready

The smoother the drop, the faster you're working. Before delivery day:

• Measure your gate. A KX40 fits through most 36" gates. A U25 needs about 60". An SVL75 needs around 72" and a lot more turning room.
• Clear a flat staging area. The tilt-deck needs roughly 40 feet of straight, relatively level approach to unload safely.
• Check overhead clearance. Low branches and power lines are the most common surprise in older Ladner and Tsawwassen neighbourhoods.
• Mark utilities. Call BC 1 Call (free) at least three business days before you dig. We won't unload for a dig job without locates on site.
• Have your ID and a credit card ready. Damage deposit is processed at drop-off, not before.

Scheduling and timing

We deliver Monday through Saturday. Most weekday drops happen between 7:00 and 10:00 a.m. so you get a full first day. Saturday delivery is available but books up fast, especially April through October. If you need a Sunday drop for a tight Monday-morning start, ask — we can usually accommodate with notice.

Rental days are counted as 24-hour periods from delivery, not calendar days. If we drop at 8 a.m. Friday, your one-day rental is up at 8 a.m. Saturday. Weekend rates (Friday afternoon through Monday morning) are billed as two days on most compact machines, which is the best-value short rental we offer.

Pickup day

Give us a call or text the morning your rental ends and we'll confirm a pickup window. Have the machine in the same spot we dropped it, fuelled up, and with attachments stacked nearby. The driver inspects for damage on site — if everything's clean, your deposit is released that day or the next business morning.

If the machine is muddy from a Ladner drainage job or a Surrey footing dig, that's expected. Excessive caked-on clay or concrete splatter that requires pressure washing may carry a cleaning fee, usually $50–$100.
